For the past three years, PRA has partnered with a Utah-based agricultural logistics and transportation client to design and deliver their annual sales meeting—building a strong, trusted relationship along the way. Following a standout program in Chicago, the client set its sights on Kansas City for the next event, with one key question: could a new destination deliver the same level of energy and excitement? PRA’s goal was clear—create a Kansas City event experience that not only matched the momentum of Chicago, but revealed the city’s own distinct personality, energy, and sense of place.

Agricultural Logistics
After a hugely successful program in Chicago, expectations were sky-high. The client wanted their Kansas City event to feel just as exciting—despite concerns that a mid-sized market might not deliver the same level of energy or “wow” factor.
At the same time, the program required sourcing and executing two distinct off-site experiences—a welcome reception and a large-scale celebration dinner—for 550 attendees. Managing logistics, flow, and guest engagement across two unique venues for a group of that size added complexity.
To bring Kansas City to life, the team focused on creating distinct, memorable moments rooted in the destination’s identity—starting with a bold choice for a high-energy welcome reception: Arrowhead Stadium, home of the Kansas City Chiefs.
With the Chief’s recent Super Bowl win, the venue offered an immediate emotional connection and a uniquely local experience. The design approach was intentional: let the stadium speak for itself. Guests were welcomed into a club-level setting with direct views of the field, complemented by four food stations—including Kansas City BBQ—bars, and a relaxed flow.
Key experiences elevated the event: The Chiefs’ Rumble drum line made a surprise appearance, accompanying guests as they exited, creating a high-energy sendoff; Docents throughout the space provided insider access and answered questions, and guests got a sneak peek into ongoing stadium renovations for the upcoming FIFA World Cup.
For the celebration dinner, Union Station provided a dramatic contrast—trading stadium energy for architectural grandeur.
The historic venue’s soaring ceilings and marble interiors set the evening’s celebratory tone. Design elements were intentionally understated, aligning with the client’s preference for minimalism while weaving in their brand colors through linens and subtle details.
The evening unfolded in layers—the first section of the space was draped off for the cocktail hour which featured a jazz trio and black-and-white photo booth for a vintage vibe. A grand reveal followed as the draped partitions opened into the main dining space for a formal seated dinner and awards program.
A full AV stage build featured several large screens, lighting, and gobos beaming the client’s logo on the high ceilings. Additionally, guests could lean into Union Station’s history by accessing its model train gallery across 8,000 square feet of display space.
The end result? Guests loved the energy, excitement, and authenticity of Kansas City—the next challenge is clear: how to level-up the Kanas City experience in the next destination.
